My colleagues and I use Google Workspace tools every day for our business, as well as our clients' businesses. However, since we expanded the number of employees, we had to think carefully about how we could save on this monthly cost.
Considering that we offer several different services, we also have several registered web domains, and we wanted to have Google Workspace on each of them. We have thoroughly researched and tested all options. We were pleasantly surprised when we realized that we can save up to 65% per month.
We will share with you what we have learned, so that by applying these tips, you too save between 20% and 65%.

1. Google Workspace promo code
- We'll start with the easiest way, with guaranteed 10% savings for the first 12 months.
- Google doesn't allow these codes to be publicly available, but there is a way to get them.
- As soon as you enter the data in the form, you will receive a promo code in your inbox.
- Don't stop at these 10% discounts, because there are nine more ways to further reduce your costs.
2. How to run multiple companies in a smart way?
- Connect all your companies to one account.
- Imagine this: you own three small businesses and each of them has a separate website. This means that you need three email addresses to communicate with the clients of each of your companies separately.
- Instead of buying a Google Workspace license in the usual way and spending money on each one, we will show you a little trick how to save another 65%, on top of the 10%s you've already saved via the promo code.
3. Switch to an annual plan
- If you've already tried Google Workspace and are happy with it, it might be time to consider an annual plan. By switching from a monthly to an annual plan, you'll have an additional 17% in savings.

4. A little secret about Google Groups
- We've seen many businesses open accounts like crazy instead of taking advantage of Google Groups. This doesn't make as much of a difference as a Google promo code, but it still affects your costs.
- It is not unusual to see companies creating email addresses such as info@yourdomain.com or Sale@yourdomain.com and throw money to the wind. That's okay, because even though they're experts at their jobs - that doesn't mean they're experts at Google Workspace. That's why this tip can be very helpful for them to save.
5. An all-inclusive Google Workspace account
- You may not always want to use the same email address when signing up for different sites or services. For example. you may not want to receive newsletters at your main address. Here's what you can do.
- Now you know how to get all messages to any address that falls under your domain.
6. Recipient address mapping
- We have found a way to create 2000 email addresses for sending and receiving emails in Google Workspace in less than 5 minutes.
- Don't be scared by the name "Recipient Address Mapping". Maybe the name itself is complicated, but we will simplify this way of saving for you.
- This feature of Google is less known, but with us you will learn how to use it successfully.
- You can find it in the Control Panel, and for detailed instructions on how to use it, watch the video.
- If you are worried about how you will respond to these emails, watch the following video.
7. Contact your Google Workspace reseller
- During the first year, you managed to take advantage of the 10% discount, but what if you want to continue using Google Workspace?
- What if you're an existing user where Google Starter or standard promo codes won't work?
- Many businesses don't even know that there are Google resellers who are experts in this and can help you get the most out of your investment if you run out of coupon options.
- Google partners get from 15% to 30% commission on Workspace licenses, and depending on how many licenses you need, they will probably be able to arrange some discount for you as well.
8. Are you eligible to get Google Workspace for free?
- Don't hesitate to buy Workspace, but first check if you might meet the requirements to get Workspace for free.
- In case you are an educational institution, you can get Google Workspace for Education with which you can create an unlimited number of users at no cost. See on this link whether your institution meets the criteria: support.google.com/a/answer/134628?hl=en
Also, if you are a non-profit association, you can get up to 3000 users for free, and for everything over that you get a discount of 66%. See the criteria required for this at the following link: support.google.com/nonprofits/answer/3367223?hl=en

9. Watch your spending
- If you are the only user of Google Workspace, you don't have to worry, but if you have multiple users and you need to add or remove licenses frequently, you should analyze your usage every month. Review, for example, a week before the payment deadline and you will avoid unnecessary expenses for the following month.
- We recommend asking yourself the following questions:
- Does a new user need a separate account or just a way to send and receive emails?
- Can you improve the Google Group and set up the “Send Mail As” feature
- If one user left and a new one joins you, can you simply change the name of the address and keep the old user's data (emails, Google documents,...)
- How long will it take to replace an employee who left and whose address remains? If it takes a long time, it might be wiser to delete that account and create a new one when you hire someone new.
10. Go for a beer
- If you have already applied all these methods, we believe that you have saved quite a bit on your Google Workspace.
- That means it's time to treat yourself to a good burger and beer. 🙂
